Privacy Policy

What this notice covers

SportsLedger provides software that sports programs use to manage teams, registrations, communication, forms, attendance, player development and payments. The sports program using SportsLedger controls the program records it collects. SportsLedger processes those records to provide and secure the service.

Website inquiries

When you contact SportsLedger through the public website, we store your name, email address and message so the platform owner can respond. Optional product-update consent is recorded separately and is not required to contact us. We use a one-way daily client identifier, short-lived form tokens and submission limits to reduce spam. Website inquiries are private to the SportsLedger platform owner and are not shared with customer programs.

Information we process

Depending on how a program uses SportsLedger, records may include account and contact information, player and guardian details, date of birth, school and grade, team activity, attendance, availability, statistics, forms and acknowledgements, limited emergency information, uploaded documents, payment status, messages, device and security logs.

Payment card details are entered on Stripe-hosted pages and are not stored by SportsLedger. We receive transaction identifiers, status and amount.

Youth and family information

Programs must obtain appropriate parent or guardian authorization before collecting information about a minor. Public registration asks the submitting adult to confirm that authority. Programs should collect only what they need, limit access by role, and remove records when they are no longer required.

SportsLedger is not directed to children for independent use. A child under 13 should not create an account or submit personal information without a parent, guardian or authorized program acting in accordance with applicable law.

How information is used

  • Provide, maintain and secure the service.
  • Process registrations, forms, team operations and payments.
  • Support users and diagnose service problems.
  • Prevent fraud, abuse and unauthorized access.
  • Meet legal obligations and enforce agreements.

Sharing

Information is shared with authorized members of the relevant sports program and with service providers needed to operate SportsLedger, such as hosting, database, email and payment providers. We do not sell personal information or use youth records for targeted advertising.

SMS program and mobile information

SportsLedger’s SMS campaign is registered under the HoopsLedger brand. SportsLedger program texts provide operational updates to recipients who opt in for their specific program. We process the recipient’s mobile number, consent status and timestamps, message content, and delivery information to operate and secure those notifications.

We do not sell or share your SMS opt-in data or personal information with third parties for marketing purposes. Mobile information and messaging consent are not shared with affiliates, lead generators or other organizations for marketing or promotional purposes. Consent is not transferred between programs or senders. Messaging providers process mobile information only as needed to deliver messages and administer opt-outs on our behalf.

Message frequency varies. Message and data rates may apply. Parents and guardians can manage Text preferences in Communication, or reply STOP to a received program SMS. For help, contact your program or email admin@sportsledgers.com. See our SMS Terms.

Security and retention

SportsLedger uses role-based access, organization separation, encrypted connections and managed infrastructure. No system is perfectly secure. Programs are responsible for appropriate user access and device security. Records are kept while the program account is active and as reasonably needed for operations, disputes, legal obligations and backups, then deleted or de-identified according to the applicable retention process.

Your choices and requests

Contact your sports program first to access, correct or delete program records. Account owners may request an export or deletion review by contacting the SportsLedger privacy team. We may verify identity and program authority before completing a request.

We may update this notice as SportsLedger changes. Material changes will be communicated in the service or by another appropriate method.
